Your memories, thoughtfully handled

Privacy Policy

Effective October 9, 2026

Gather The Days is operated by Mosaique, LLC, Illinois, USA. This policy describes information handled through our website and Story Writing Assistant inside Canva. For support or privacy requests, contact info@gatherthedays.com.

What the assistant uses

  • Your writing: the memories you enter, people and details you mention, your length preference, generated suggestions, edited wording, and saved change history.
  • Your workbook: page identifiers, supported template information, editable text and text-box positions needed to recognize pages and safely apply changes.
  • Your access: Canva account, team and design identifiers used to authenticate requests and separate saved work. Stored access and workbook records use derived identifiers. These records are still linked to your use of the service; they are not anonymous.
  • Purchase and generation records: order references, activation status, credit grants, successful generation records and security information used to prevent the same generation from being deducted twice or prevent unauthorized access.
  • Support and service information: information you send us when requesting help, and technical information needed to operate and troubleshoot the service.

The current writing workflow sends text, not your album photographs, to the AI provider. The assistant does not obtain your Canva email address through its current authentication flow. Etsy handles your checkout and payment details.

Why we use this information

We use it to recognize the page you are working on, generate wording you request, save your memories and drafts, apply approved text changes, verify access, maintain your generation balance, recover interrupted requests, and respond to support requests.

AI-assisted writing

When you request a story, relevant memory text, page-writing instructions and previously approved captions may be sent to OpenAI through our server. You choose whether to use a suggestion and can edit it before applying it to Canva.

Mosaique, LLC has disabled sharing of API inputs and outputs for model training in its OpenAI account settings. This is our business’s setting; you are not asked to opt in to model training through the assistant. We also ask OpenAI not to save generated responses for us to retrieve later. That does not eliminate all provider retention: OpenAI’s default abuse-monitoring records may retain content for up to 30 days, with longer retention where required by law or reasonably necessary to protect its services or others from harm. See OpenAI’s API data controls.

Sale, advertising and model training

Gather The Days does not sell your personal information, use it for advertising, or use your memories or stories to train our own or other models. Sending text to OpenAI to produce a story you request is part of providing the assistant, not a request to train a model.

Children and family information

The website and assistant are intended for adults creating family albums, not for children to use independently. Parents and guardians may include children’s names, experiences and other family details in their memories. We process that information to provide the requested writing and saved-draft features, under the same protections described in this policy. Share only the information needed for your story and that you are entitled to provide. A parent or guardian can contact us about a child’s information using the privacy-request process below.

Website visits and technical records

Our website does not currently include advertising pixels or browser analytics scripts, and its own code does not set tracking cookies. Fonts and images are served from our website rather than loaded from third-party font or image services. Following a link to Canva or Etsy takes you to a service with its own privacy and cookie practices.

Vercel hosts the website and assistant server and processes technical request information to deliver pages, operate the service and protect it against abuse. Hosting and security records can include IP addresses, requested URLs, request times, browser information, response status and errors. Our application also records generation timing, model names, token counts and success or failure status for troubleshooting and usage monitoring. Those application metrics do not include the text of your memories or generated stories.

Services involved

Canva provides the design editor. Vercel hosts our website and application server. Our database service, managed through Vercel, stores saved memories, drafts, change history, generation recovery results and access and credit records. OpenAI processes writing requests, and Etsy manages purchases and order conversations. These services handle information as needed for their roles and under their own applicable terms.

Our service providers may process information in locations where they operate. The yearbook’s US audience does not mean all data processing is restricted to the United States.

Saved work and retention

Saved memories and drafts are separate from the words already applied to your Canva design. Closing Canva or removing the app does not delete saved assistant records.

  • Saved memories, drafts and change history: we retain saved memories and drafts until you request deletion. This intentionally has no fixed expiry, so you can return to your yearbook. The limits of our current deletion process are explained below.
  • Generation recovery copies: a separate copy of a successful result is available for seven days after generation to recover interrupted requests. An hourly cleanup removes expired recovery text from active storage. Saved workbook drafts are unaffected. We retain the request identifier, input fingerprint, completion time and credit record so the same generation cannot be deducted twice; those accounting records have no automatic expiry.
  • Access, purchase and support records: access and credit records are retained to maintain your entitlement and balance. Purchase references, security records and support correspondence may also be needed to resolve requests or disputes, prevent misuse and meet applicable recordkeeping obligations. We have not set a single fixed retention period or automatic expiry for these records. We assess what must be retained separately when handling a privacy request.
  • Hosting logs: we use Vercel’s default Pro runtime-log retention of one day. This applies to the application runtime logs available to us, not every record Vercel may retain for its own security, billing or legal purposes. See Vercel’s runtime-log documentation and its privacy policy.
  • Database restore history: the configured restore window is six hours. Changes made to active records may remain recoverable within that window. This is separate from manually created database snapshots.
  • Manual database snapshots: our retention limit is seven days from creation. These private copies are used for maintenance and recovery and require operator removal. Removing a record from the active database does not immediately remove it from an existing snapshot. Our process for ensuring completed deletions remain effective after restoring a backup has not yet been implemented and tested.

Deletion requests

To request deletion, email info@gatherthedays.com. There is no self-service deletion feature, and a reliable process to locate and remove every workbook associated with an account has not yet been implemented and tested. Support will review the request, verify the account and identify the workbooks involved, explain the current limitations and any records that must be retained, and confirm only removals that have actually been verified. We do not promise that closing your account or contacting support automatically removes all saved information.

Your choices and privacy requests

Share only the details you want processed for your yearbook. You can edit memories and wording in the assistant and edit your album directly in Canva. Reset restores template wording; it is not an account-data deletion action.

Contact info@gatherthedays.com to request access, correction or deletion of assistant information. You do not need to send passwords, full access codes or private family photographs. Deleting assistant records does not delete your Canva design or Etsy records; requests concerning those services may also need to be made directly to them.

Updates

We will update this page and its effective date when our practices change.
